Generating a list of personal names from a set of records of a given taxon.

This FAQ is based on a question and answer recently circulated on the RECORDER email group.


QUESTION:

I wish to generate an ASCII export of names and addresses of all those recorders who have submitted records for a particular species in 2002.

If I run a record selection I can generate a list of all my records for species x for 2002. However, if I then use this list as the basis for an ascii export from the 'Personal' table the data I get exported is not correct (ie not what I am expecting).

Not knowing the inside of Recorder too well, I suspect I should actually be generating a list direct from the 'Personal' table but I am unsure as to how to procede. Any help would be gratefully received.


ANSWER:

After creating a list of the relevant records, you now need to use Filter>Join to create a list of the PERSONAL keys in those RECORDS you have selected.

- generate your list of records for species x as before and at the end of the process save the list. Say it is called MyRecs
- select Filter - Join
- fill it in as follows:

Existing list          MYRECS
Table name           RECORDS
Column name        RECORDER
Name for new list  MYPERSONAL

It will trawl through the RECORDS in MYRECS and find all the different PERSONAL keys they contain and save these to a new list called "MYPERSONAL"

- Select Get List and enter the name of the new list MYPERSONAL

You can now do your export, or you can use EasyWriter to generate an appropriate report for you which you can send to the hard drive.
